Job Title and Grade: Personal Assistant – Band 4

Pay Rates: Days: £11.20ph, Sunday/Night: £14.55ph, Sunday/Bank Holiday: £17.91ph

The Role:

Key Skills/Responsibilities: (may include but not limited to):

  • To deal with all queries in an efficient and courteous manner using judgement and prioritisation skills.
  • Undertake administration and secretarial duties (specific to the role).
  • Undertake general office duties i.e. typing, data inputting, filing, photocopying, facsimile, as deemed appropriate, in line with Trust Policies and Procedures.
  • Arrange, confirm appointments and meetings as required, making appropriate arrangements e.g. hospitality, booking venues, equipment, travel accommodation etc.
  • Provide a secretarial service to meetings including the preparation and distribution of agendas and papers, including minute taking.
  • Answer / deal with both face to face and telephone enquiries.
  • Deal with incoming and outgoing mail.
  • Working to deadlines in a fast paced, demanding environment whilst maintaining accuracy and attention to detail.
  • Use of Microsoft office programmes including Outlook, Word, Excel as well as internal NHS systems.
  • Ability to work both as part of a team and independently.
  • Respecting the confidentiality of all matters relating to patient, their employment, and other members of staff. All members of staff are required to comply with the requirements of the Data Protection Act 1998.
  • Attend statutory, essential, and mandatory training as required.

In order to apply for a post, you must have a Minimum of 6 months UK (Private or NHS) Administration experience within the last 2 years, and have minute taking experience.
